Products – Import Records Overview

The Purpose of the Import Records form is to allow you to perform a bulk import of data related to your Product catalog. This includes adding new items (like Products, Categories, etc) and updating existing items.

There are five different types of importing that can be performed using the Import Records form. You may import Category Type Properties, Category Properties, Subcategory Properties, Customized Category per Manufacturer Properties and Product Properties.

In order to import properties in any of these sections, a user must first expand the corresponding section of the Import Records form by clicking on the section header. You must also indicate the desired properties to import by placing a check in the box that corresponds with these properties.

Import files should be prepared as tab delimited (.txt) or comma separated value (.csv) files. The Extra Configuration Section at the bottom of the Import Records Form allows a user to indicate to the import engine how to process your import document and includes settings like Column Separators, Column Value Separators, Update Mode, etc.

Note: It is recommended when importing to prepare an import file of approximately five items (Category Types, Categories, Products, etc.) and to test your import configuration before proceeding with larger amounts of data.


Each section may use the same or different import file.

Configure Products – Images Functions

[+] Add Option Group: This function enables the store owner to add additional option groups to a product, which results in unlimited options.


Products – Import Records Properties

CategoryType Properties: The Category Type Properties section of the Import Records form should be used to create new, or modify existing Category Types. If you wish to update or create new Categories, Sub Categories or Products, then you do not need to use the Category Type Properties section of the Import Records form.

CategoryType ID: The foreign id of the Category Type. Not the same as the internal database id, which cannot be changed. The purpose of creating a foreign id is to enable the system to recognize your NEW vs EXISTING Category Types. Must be unique. No two Category Types may share the same Category Type ID.

CategoryType Name: The Name of the Category Type as it will appear in your menu, bread crumbs, Category Type page and other areas throughout your website.

CategoryType Name (user …): The user-specific Category Type Name. Overrides the value entered for Category Type name for the selected user only.

CategoryType Descr: The Description of the Category Type as it will appear at the top of the Category Type page. HTML allowed.

CategoryType Descr (user …): The user-specific Category Type Description. Overrides the value entered for Category Type description for the selected user only.

CategoryType Descr (below): The Description of the Category Type as it will appear at the bottom of the Category Type page (below the list of Categories). HTML allowed.

CategoryType Descr (below) (user…): The user-specific Category Type Descr(below). Overrides the value entered for Category Type description for the selected user only.

WebPage Name: The document name prefix of the Category Type page(s). The suffix is [word separator][internal category type id][word separator]. Word Separator can be either a hyphen ( – ) or underscore ( _ ) and is defined on the SEO screen | SEO General Settings | Page Name Words Delimiter [select box]. Do not enter a page extension into the Web Page Name field. The extension will be added automatically and is defined on the SEO screen | SEO General Settings | Default Page Names Extension [select box].

  • If you would like to enter an exact document name for the first page in your Category Type and NOT have a generic suffix as described above), then you should enter a value into the Web Page Name field in this format: =[document_name][extension]. For example, to assign the document name plasma_televisions.htm to a given Category Type, you should enter the value =plasma_televisions.htm into the Web Page Name field.

WebPage Name (user…): The user-specific WebPage Name. Overrides the value entered for WebPage Name for the selected user only.

Category Types Import File [file upload]: Use the Browse button to enter the path to your import spreadsheet. Click the Import button at the bottom of the form to perform the import.


Category Properties

The Category Properties section of the Import Records form should be used to create new, or modify existing Categories. If you wish to update or create new Category Types, Sub Categories or Products, then you do not need to use the Category Properties section of the Import Records form.

CategoryType ID: The foreign id of the parent Category Type. Not the same as the internal database id, which cannot be changed. The CategoryType ID must exist prior to import OR must be created during the import using the Category Type Properties section of the Import Records form. No two Category Types may share the same Category Type ID.

Category Descr (below): The Description of the Category as it will appear at the bottom of the Category page (below the list of Products). HTML allowed.

Category Descr (below) (user …): The Description of the Category as it will appear at the bottom of the Category page (below the list of Products and Sub Category links). HTML allowed.

Category Title: The title of the Category as it will appear in the HTML of the Category Page within the <head> tag.

Category Descr: The Meta Keyword value as it will appear in the HTML of the Category Page within the <meta> tag, “keyword” attribute.

Category Keywords: The Meta Description value as it will appear in the HTML of the Category Page within the <meta> tag, “description” attribute.

Image: The image of the Category as it will appear on the Category Type page and top of the Category page. Also used by the Category Template.

Word Separator can be either a hyphen ( – ) or underscore ( _ ) and is defined on the SEO screen | SEO General Settings | Page Name Words Delimiter [select box].   • If you would like to enter an exact document name for the first page in your Category and NOT have a generic suffix (as described above), then you should enter a value into the Web Page Name field in this format: =[document_name][extension]. For example, to assign the document name plasma_televisions.htm to a given Category, you should enter the value =plasma_televisions.htm into the Web Page Name field.

SubCategory Properties

The Sub Category Properties section of the Import Records form should be used to create new, or modify existing Sub Categories. If you wish to update or create new Category Types, Categories, or Products, then you do not need to use the Category Type Properties section of the Import Records form.

SubCategory Descr (below) (user …): The Description of the Sub Category as it will appear at the bottom of the Sub Category page (below the list of Products). HTML is allowed.

Sub Category Title: The title of the Sub Category as it will appear in the HTML of the Sub Category Page within the <head> tag.

Sub Category Descr: The Meta Keyword value as it will appear in the HTML of the Sub Category Page within the <meta> tag, “keyword” attribute.

Sub Category Keywords: The Meta Description value as it will appear in the HTML of the Sub Category Page within the <meta> tag, “description” attribute.

Import Customized Category per Manufacturer Properties

The Import Customized Category per Manufacturer Properties section of the Import Records form should be used to modify the Categories located with a Category Type with a Generation Type setting of Products by Manufacturers or Products by Manufacturers/Categories.

Category Type Id: The Foreign Id of the Category Type.

Category Id: The Foreign Id of the Category.

Manufacturer Id: The Foreign Id of the Manufacturer.

Warehouse Id: The Internal Database ID of the Manufacturer.

Category Manufacturer Id: The Foreign Id of the Category by Manufacturer record to be created or updated.

Category Name: Overrides the regular Category Name.

Category Name (user …): Overrides the Category Name User for the selected User only.

Category Description: Overrides the regular Category Description.

Category Description (user …): Overrides the Category Description for the selected User only.

Category Descr (below): The Category Description that appears below the list of Products.

Category Descr (below) (user …): Overrides the Category Description for the selected User only.

Category Title: Overrides the regular Category Title.

Category Description: Overrides the regular Category Description (the Meta Description).

Category Keywords: Overrides the regular Category Keywords (the Meta Keywords).

Image: Overrides the regular Category Image.

WebPage Name (user …): The user-specific WebPage Name. Overrides the value entered for WebPage Name for the selected user only.

Navigation Names: Enter a comma separated list of Navigation Names. The Navigation Names will be used as link text in pagination links (instead of :"1 2 3 4 5"). In order for Navigation Names to be used, you must change the Split Pages Navigator Type setting on the SEO General Settings Screen (located within the SEO tab) to list of entity names.

Navigation Names (user …): Overrides the Navigation Names for the selected user only.

Category per Manufacturer Import File [File Upload]: Use the Browse button to enter the path to your import spreadsheet. Click the Import button at the bottom of the form to perform the import.


Product Properties

The Product Properties section of the Import Records form should be used to create new, or modify existing Products. The Product Properties Section contains many useful subsections which allow you to import values related to Product Options, Related Products, Upsell Products, Navigation Bars, Filters, Manufacturers, Vendors and Electronic Products. If you wish to update or create new Category Types, Categories or Sub Categories, then you do not need to use the Product Properties section of the Import Records form.

Category ID: The foreign id of the parent Category. Not the same as the internal database id, which cannot be changed. The Category ID must exist prior to import OR must be created during the import using the Category Properties section of the Import Records form.

SubCategory ID: The foreign id of the parent Sub Category. Not the same as the internal database id, which cannot be changed. The Sub Category ID must exist prior to import OR must be created during the import using the Category Properties section of the Import Records form.

Product ID: The foreign id of the Product. Not the same as the internal database id, which cannot be changed. No two products may share the same Product ID.

Product Link ID: The Product Link ID of the product.

Product Name: The Name of the Product as it will appear in your Category pages, Search Results, Sitemap and other areas through out your website.

Product Name (user …): The user-specific Product Name. Overrides the value entered for Product Name for the selected user only.

Product Number: A value assigned to the product for identification purposes. For example, you may enter the SKU. The Extra Configuration section contains the setting Use Product Number to Update by. If this setting is set to Yes, then the Product Number will be used to determine if an existing Product should be updated or a new Product should be created.

Manufacturer Number: The intended use of this field is to store the MPN per product.

UPC: The intended use of this field is to store the UPC per Product. The UPC can be displayed per Product on your website using the Product Template.

ISBN: The intended use of this field is to store the ISBN per Product. The ISBN can be displayed per Product on your website using the Product Template.

Cost Price: The intended use of this field is to store the Cost Price per Product. Your website visitors will not see the Cost Price unless you display it on your Product Template. The Cost Price is used in some of the system’s reports in order to show Profit (Selling Price – Cost Price). Cost Price is not the same as List Price.

List Price: The intended use of this field is to store the List Price per Product. The List Price is often thought of as the “full retail price”. The List Price is formatted with a “line through” and is often displayed next to the Selling Price. This allows the customer to view the potential savings achieved by purchasing the Product from your store.

Selling Price: The value that a Customer must pay for a given product (minus any applicable Coupons or Discounts). This is the price that will appear during the checkout process.

User Price Diff: The difference in value that will be charged for a Product for the website corresponding to the selected User only. Value entered can be in dollars or percent.

Weight: Used during the checkout process as to determine shipping cost if the shipping method selected by the customer uses a weight based calculation.

Sort #: Determines the order in which a product will appear on a Category or Sub Category page. May use numbers or letters.

Quantity: To adjust the quantity of a Product you may import the quantity, or you may increment/decrement the quantity by a specified amount using this format: ++X OR –X. Replace the X with the amount that you would like to increment or decrement the Product Quantity by. Use pluses to increment and minuses to decrement.

Qty Minimum: For a given Product, the minimum number of that Product that can be ordered.

Qty Incremental: For a given Product, the number whose multiples match the quantity that can be ordered.

Qty Incremental (user …): The user-specific Qty Incremental. Overrides the value entered for Qty Incremental.

Qty threshold: For a given Product this number is equal to the Product Quantity that will trigger a notification by email.

Offline Only: For each Product enter a value of 1 for yes (offline only) and 0 for no (not offline only).

Brief Descr, Brief Descr1, Brief Descr 2: The intended use for this fields is to store a brief description of the Product as it will appear on Category or Sub Category Pages. Multiple fields are available in order to allow a better separation of information. HTML allowed.

Brief Descr (user …): The user-specific Brief Descr. Overrides the value entered for Brief Descr for the selected User.

Detail Descr, Detail Descr1, Detail Descr: The intended use for this fields is to store a Detailed description of the Product as it will appear on the Detailed Description pages. Multiple fields are available in order to allow a better separation of information. HTML allowed.

Detail Descr (user …): The user-specific Detail Descr. Overrides the value entered for Detail Descr for the selected User.

Condition: Can be used to indicate the condition of the product.

Tiny Image: Can be used for Product Displays and on the first step of the checkout Process.

Thumbnail Image: Can be used for Product Displays and on the first step of the checkout Process.

Small Image: Can be used for Product Displays and on the first step of the checkout Process.

Big Image: Can be used for Product Displays and on the first step of the checkout Process.

Large Image: Can be used for Product Displays and on the first step of the checkout Process.

Extra Images: Can be used for Product Displays.

Page Title: The title of the Product as it will appear in the HTML of the Detailed Product Page within the <head> tag.

META Description: The Meta Keyword value as it will appear in the HTML of the Detailed Product Page within the <meta> tag, “keyword” attribute.

META Keywords: The Meta Description value as it will appear in the HTML of the Detailed Product Page within the <meta> tag, “description” attribute.

Page Header: The value imported for this field will appear in the HTML of the Detailed Product page within the <head> tag.

Searchable Words: For a given Product, a comma separated list of one or more words/phrases that will cause that Product to appear in website search results when the given word or phrase is searched for.

WebPage Name: The document name prefix of the Product page(s). The suffix is [word separator][internal sub category id][word separator]. Word Separator can be either a hyphen ( – ) or underscore ( _ ) and is defined on the SEO screen | SEO General Settings | Page Name Words Delimiter [select box]. Do not enter a page extension into the Web Page Name field. The extension will be added automatically and is defined on the SEO screen | SEO General Settings | Default Page Names Extension [select box].

For example, to assign the document name plasma_television.htm to a given Product, you should enter the value =plasma_television.htm into the Web Page Name field.

WebPage Name (user …): The user-specific WebPage Name. Overrides the value entered for WebPage Name for the selected user only.

Flat Shipping Fee: The value entered for this field will be the shipping fee charged for the given product during the checkout process. Overrides other shipping cost calculations as performed by the Shipping Method settings.

Custom SEO Fields: The value imported for this field will be used for the purposes of SEO.

Ability to Order: The value imported in this field will be used to set the ability to order for a product.

Use Canonical Links: The value in this field will help prevent duplicate content issues.

CSV Column Indexes: This field is reserved for custom importing using the {$product.fieldname=<field>} keyword structure. ! ! ! Warning ! ! ! The System is Not Responsible for any mass product updates using this function.

Product Options (recreate): Product Options is a sub section of Product Properties. Use this section in order to erase your current options and add new (or just add new). Product Options consist of two levels: Option Groups and Option Values. An example of an Option Group is “Color”. Examples of Option Values within the “Color” Option Group are “Red”, “Yellow” and “Orange”.

Group Name: An Option Group is a mutually exclusive set of Options. You may create up to 10 Option Groups. The Option Group Name should be a word or phrase that helps clarify the unifying trait of the Option Group. This property accepts the actual value (not the column index value) that you would like to assign to the option group name.

Col Index(Values) (required): Option Values are the mutually exclusive options located within the Option Group.

Col Index(List Prices): Stores the List Price per Option. The List Price is often thought of as the “full retail price”. The List Price is formatted with a “line through” and is often displayed next to the Selling Price. This allows the customer to view the potential savings achieved by purchasing the Product with the corresponding option from your store.

Col Index(Sell Prices): The value that a Customer must pay for a given option (minus any applicable Coupons or Discounts). This price will be visible during the checkout process.

Col Index(Weights): Used during the checkout process as to determine shipping cost if the shipping method selected by the customer uses a weight based calculation.

Col Index(Numbers, SKU’s): A value assigned to the option for identification purposes. For example, you may enter the SKU.

Col Index(Quantities): A value representing the quantity in stock.

Col Index(Images): Can be used to display the product option image.

Col Index(Variant Images): Can be used to display the product option images.

Layout: Determines the type of form input that will display the option values on your website. Choices include Drop Down, Text Fields, Check Boxes and Radio Button. The setting you choose for Layout overrides the Option Groups Layout setting.

Options Groups Delimiter: Determines the delimiter that appears between Option Groups. Choices include New Line and Single Space.

Options Groups Layout: Determines the type of form input that will display the option values on your website. Choices include Drop Down, Text Fields, Check Boxes and Radio Button.

Extra Option Item for all Options: Enter the text that you would like to appear as the default option value. For example, rather than have your default option be an actual option value, you may wish it to be something like "Select Option". If you do not want to have an Extra Option Item for all Options, then enter the value <none/>.

Accumulate Product’s Base Price: Choices include Yes and No. If set to Yes, then the Selling Price of the Product will be the Product Selling Price plus the Option Price.

Accumulate Product’s Base Weight: Choices include Yes and No. If set to Yes, then the weight of the Product (as used in shipping cost calculations) will be the Product Weight plus the Option Weight.

Import Options Action: Choices include Update Create or Delete, Update or Create, Delete and Create. The Update Create or Delete option will cause existing Option Groups to be updated, new Option Groups to be Created and any option groups not being imported will be deleted. The Update or Create option will cause existing Option Groups to be updated and new Option Groups to be Created. The Delete and Create option will cause existing Option Groups to be deleted and new Option Groups to be created.


Related Products References (recreate)

A sub section of Product Properties. Use this section in order to erase your current Related Products and add new (or just add new). Related Products are a display of one or more Products that appears on your Detailed Product Page. The intended use for the Related Products display is to increase conversion rate by offering products which are similar to, or accessories of the main Product being displayed on the Detailed Product Page.

Products IDs: A list Product ID‘s that correspond to the Products which you would like to add as Related Products.

Related Products Types: If applicable, it will allow the store owner to group sets of related products to display on specific detail pages.

Sort #: A list of Sort Numbers. Determines the order which the Products appear in the Related Products Display.

* If a user is importing multiple related products and one of the related product does not exist, the import engine will no longer stop importing the remaining related products.


Upsell Products References (recreate)

A sub section of Product Properties. Use this section in order to erase your current Upsell Products and add new (or just add new). Upsell Products are display of Products that appear on the Upsell Products page. The Upsell Products page is an optional page which your customers will be transferred to when attempting to view the cart. The intended use of the Upsell Products page is to increase the revenue per sale by encouraging customers to add additional items to their cart. Each Product may be assigned Upsell Products. The Upsell Products that appear on the Upsell Products page are the Upsell Products which are assigned to the Products already in the cart.

Products IDs: A list Product ID‘s that correspond to the Products which you would like to add as Upsell Products.

Sort #: A list of Sort Numbers. Determines the order which the Products appear in the Upsell Products Display.


A sub section of Product Properties. Use this section in order to erase your current Navigation Tab Content and add new (or just add new). The intended use of Navigation Bars is to add a tab-based interface to your Detailed Product display. The tab-based interface is one way to show your customers different information about your Products. A Navigation Bar consists of a set of Navigation tabs. The Import Records form allows you to add content to your Navigation tabs. It does NOT allow you to create a Navigation Bar or Navigation Tabs. This means that before you import your Navigation Tab Content, you must use the Navigation Bars screen (located within the Products tab) to create your desired Navigation Bar and Navigation Tabs.

NavBar ID: The internal database id of the already-existing Navigation Bar which you would like to add Nav Tab content to.

NavTabs: All tabs per product may be imported by listing them in one column separated by the chosen column separator. The alternate import method is to make a separate column per NavTab. In this case the tag “<col-navbar-tab/>” must be placed in every cell containing a tab.


Product Filters (recreate)

A sub section of Product Properties. Use this section in order to erase your current Product Filters and add new (or just add new). Product Filters appear on your Dynamic, Filterable Menu. They allow your visitors to view products by checking a checkbox next to the desired Filter Values. The Import Records form does not allow you to create Filters or Filter Values. You must used the Filters screen (located within the Products tab) to create the desired Filters and Filter Values before assigning them to your Products.

Filter Value Ids: A list of internal database ids that correspond to the already-existing Filter Values which you would like to be assigned to the Product.

If Product Filters are configured to be imported on the product import form then the product filters will be deleted if the provided import value is empty. This is to allow filters to be removed via an import. Store owners have to be careful to not enable filters importing if they don’t intend to import them, otherwise current filter associations for the importing products will be removed if the import file does not have them.


Manufacturers

A sub section of Product Properties. Use this section to assign your Products to a Manufacturer. If the Manufacturer does not exist, then it will be created using the data you specify. This section also allows you to specify different values (like Name and Description) that should appear per Product for those Products located in the Category Type with a Generation Type of Products By Manufacturers or Products By Manufacturers/Categories ONLY.

Manufacturer ID: The Foreign ID of the Manufacturer that you would like to assign to your Product(s).

Product Name: The Product Name as it should appear per Product for those Products located in the Category Type with a Generation Type of Products By Manufacturers or Products By Manufacturers/Categories ONLY.

Product Name (user…): Overrides the Product Name for the selected User Only. The Product Name as it should appear per Product for those Products located in the Category Type with a Generation Type of Products By Manufacturers or Products By Manufacturers/Categories ONLY.

Manufacturer Name: The name of the Manufacturer as it should appear on your Manufacturer pages, bread crumbs and other areas throughout your website.

Product Brief Description : The Product Brief Description as it should appear per Product for those Products located in the Category Type with a Generation Type of Products By Manufacturers or Products By Manufacturers/Categories ONLY.

Product Brief Description (user…): Overrides the Product Brief Description for the selected User Only. The Product Brief Description as it should appear per Product for those Products located in the Category Type with a Generation Type of Products By Manufacturers or Products By Manufacturers/Categories ONLY.


Vendor (Drop Shipping)

A sub section of Product Properties. Use this section to assign your Products to a Vendor. The Control Panel includes a system for managing your orders with Products that will be drop shipped. To use the system, each of your Products that will be Drop Shipped should be assigned to a Vendor. Vendors must be created using the Users screen (located within the Settings) tab before Products may be assigned to them. One Vendor can be associated per Product.

Vendor ID: The Foreign ID of the Vendor that you would like to assign to your Product(s).

Vendor Name: The Name of the Vendor as it will be displayed on the Orders DropShipping Email, Users screen, Drop Shipping screen and different areas throughout your Control Panel.

Vendor Phone: The Telephone Number of the Vendor as it will be displayed on the Orders DropShipping Email and Users screen.

Vendor Email: The email address that will be used when sending Orders DropShipping Emails to Vendors.


Electronic Product

A sub section of Product Properties. Used to specify that a Product(s) is an Electronic Product and upload the associated file that will be available to the customer after purchase.

eProduct FileName: The file name of the file that will be available to the customer after purchase.

Download from URL: the URL of the file that will be available to the customer after purchase. The system will upload this file and store in a new, secure location.


This section will allow the creation of a single product link into multiple categories.

Create Single Product Links in Categories: the value of the column index should represent a comma delimited list of category ids that the product link will be created.


Additional Properties

A sub section of Product Properties. The intended use of Property 01 – 35 is to allow the placement of additional, Product-specific information or code on your Category Pages, Sub Category Pages or Detailed Product Pages.

Property 01 – 35: Enter the value of your choice. Will appear per Product on your Category, Sub Category or Detailed Product pages when the keyword AUTO_GENERATED_PRODUCT_PROPERTY_XX is used on your Product Template (replace the "XX" with the number of the Product Property).


Extra Configuration

The Extra Configuration section contains the base settings for the Import Records form.

Download Images from URL: When Using the Import Records form to import any type of images, including: Category Type Images, Category Images, Sub Category Images, Product Images or Manufacturer images, the images must be stored on a URL (not on your hard drive). Use this field to specify the absolute path the URL where your images are stored.

Skip Line Numbers: Enter a comma separated list of line numbers (from your import document) that the import engine should ignore. The line numbers you normally skip are those at the beginning of your document that contain your line numbers.

Columns Separator: Choices include Comma or Tab. If you are importing a file with comma separated values(.csv extension), then you should choose comma. If you are importing a tab delimited file (.txt extension), then you should choose Tab.

Product Update Mode: Choices include Standard or No Links. The difference between the two is that Standard Product Update Mode will create Product Links if an existing Product is imported into a Category or Sub Category that does not match its current location. No Links Product Update Mode will not create Product Links if an existing Product is imported into a Category or Sub Category that does not match its current location. Instead, the Product will be moved to the new destination Category or Sub Category.

Column Values Separator: Choices include Comma or Tab. For columns that contain lists of values, like Related Products Ids, choose the separator that is used between values.

Append Product # to Name: Choices include Yes and No. If Yes is selected, the Product Number will be appended to the Product Name.

Use SKU To Update By: Choices include Yes and No. If Yes is selected, the SKU will be used as the Product identifier instead of the Product Foreign Id. The intended use of this feature is to allow you to simultaneously update multiple Products who have the same SKU. For example if you have 5 Products with the same SKU and you want to update their Prices (with the same value), this feature allows you to do it by entering one row on your spreadsheet instead of five.

Activate In Stock Items: Allows the store owner to enable disabled products when inventory becomes positive via import.

Extra Images Mode: Choices include Replace All and Add. If Replace All is selected the extra images will be replaced. If Add is selected, the images new images will be appended to the current extra image list.

Import Action: Choices include Create/Update Records and Delete Records.
